Terms and Conditions
Masonic (Southend Members)
1. All "Southend-based" Masonic units to benefit from "Southend Masonic Menu" - prices reviewed annually effective 1st July.
2. All wine, beer and soft drinks purchased over the bar to be charged at single tier pricing.
3. Wine, beer and soft drinks purchased on affiliated Lodge and other units accounts, on their usual meeting date; house wine charged at £10 per bottle, Port to be discounted at 25% per bottle and 10% on beer and soft drinks.
Commercial
4. Private parties to use non-discounted Banqueting or Buffet menus. If booking is organised by, and being paid for by, a Southend Masonic member, then the discounted Members Menu can be used.
5. Any alternative, or chef-designed, menu to be priced and agreed prior to function.
Choices
6. Lodge Festive Board - one choice per course plus dietary considerations. From the 1st May 2011. where more than 10% alternatives are ordered on each course then the cost of any waste (caused by orders on the night) plus any price differentials will be passed onto the individual units. Alternatives offered are Starter; Melon or Soup. Main Course; Plain Chicken, Omelette or Fish. Dessert; Ice Cream or Fresh Fruit Salad.
7. Ladies Night functions, White Tables, Commercial functions - choice of two options per course plus dietary considerations (As listed in para 6 above).
8. Designed menus to be priced by General Manager in conjunction with Head Chef.
Temple Room Hire
9. SMC room-hire for affiliated Lodges and other units - Temple Rents will be collected by per capita charge of £8.00 per member per meeting, invoiced in January for payment by 31st May. (Increasing to £8.40 on 1st January 2012) and reviewed annually. The per capita charge is payable in respect of net membership as reported on the most recent annual(s) submitted to UGL/PGL/equivalent prior to the 31st December and that figure will be used for our calculationsfor the per capita charge for the following year. When the centre is closed due to extreme weather conditions, or any circumstances that are deemed to be beyond our control, then no refund of the per capita charge will be made where meetings had to be cancelled as a result. When these circumstances then we will do our utmost to provide a mutually acceptable alternative date or additional facilities (courses/wines/drinks etc) at other meetings.
10. SMC room-hire for Provincial, District and "Masters" meetings - Temple Rents will be collected by per capita charge of £2.00 per member dining and invoiced as Temple rent, (Increase to £2.10 on 1st January 2010) reviewed annually.
11. SMC room-hire for non-affiliated Lodges - Temple Rents for Lodges and others using the Temples for special meetings. Charge on application to the General Manager.
Function Room Hire
12. Function room-hire for SMC members for private family banqueting, buffet, weddings and wakes - No Charge.
13. Function room-hire for Masonic use - No Charge.
14. Function room-hire for non-Masonic when full sit-down Banqueting menu used - No charge.
15. Function room-hire for non-Masonic when Buffet menu used - 50% room-hire charge.
16. Function room-hire for non-Masonic - non-dining - 100% room-hire charge / GM discretion.
17. Wedding Chapel for civil weddings charged in accordance with room-hire charge and terms.
18. Functions requiring additional rooms for entertainment, etc - Charged at room hire and at G.M.'s discretion.
Deposits
19. Room-hire deposit of £500 to be taken for all room bookings, with less than one year to date of function on Friday & Saturday evenings (Masonic & Commercial) other than lodges/units dining after meetings. To be refunded against final invoice. Non-refundable, either in full or part, upon cancellation and in accordance with hire contract.
20. Commercial Functions, weddings, banquets, etc., to be subject to stage-payment deposits in accordance with our separate terms and conditions and as shown on the booking form.
Bar and Ancillary Services
21. All drinks to be supplied by Saxon Hall, other than when the relevant corkage is paid, or supplied by lodge/unit historically using 'grandfather rights' where a 50p per person glass washing charge will added.
22. Bar extension hours after 1am. - £50.00 Charge.
23. P.A. systems for non-affiliated - hire £50.00 Charge and at G.M.'s discretion.
24. Projector and screen - £50.00 Charge.
25. Flip charts and paper - £20.00 Charge.
26. All variations to be at G.M.'s discretion.
Accounts
27. Masonic bar accounts to be included with Lodge account and settled in accordance with SMC payment terms.
28. All private and over-counter purchases to be settled on the day by acceptable means of payment. Credit tabs to be approved prior to purchase with Proof of Payment.
29. All accounts to be settled by the Principle Organiser.
Payment Terms
30. Southend Masonic members, government bodies, local council, etc., 30 Days
31. Any other party - payment in full 48 hours prior to function
